Travellin — Booking Amendments, Changes & Cancellations

1. Purpose

This page explains how customers may amend, change or cancel a booking made through Travellin and how the applicable charges, refund rules and supplier conditions are determined.

2. Important: Check Your Booking Conditions First

Every booking has its own applicable conditions.

Before requesting an amendment or cancellation, check the booking confirmation for:

  • cancellation deadline;
  • cancellation fee;
  • refundable amount;
  • amendment conditions;
  • amendment fee;
  • supplier restrictions;
  • non-refundable components;
  • no-show provisions;
  • and any special conditions.

A booking cannot be assumed to be refundable or changeable simply because another Travellin offer is refundable or flexible.


3. Who Controls the Booking?

The procedure depends on how the booking was made.

Travellin may:

  • facilitate the booking;
  • act as an intermediary;
  • refer the customer to a supplier;
  • process the booking on behalf of a supplier;
  • or, where expressly stated, be the contractual supplier.

The relevant booking confirmation should identify the applicable arrangement.


4. How to Request a Change or Cancellation

For assistance with a Travellin booking, contact:

Please include:

  • booking reference;
  • full name;
  • email used for booking;
  • supplier;
  • service;
  • requested change or cancellation;
  • and relevant travel/service date.

5. Cancellation Is Not Effective Until Confirmed

Submitting a cancellation request does not necessarily mean that the booking has been cancelled.

Where Travellin must communicate the request to a supplier, cancellation becomes effective only when the responsible booking system or supplier confirms it.

Customers should retain the cancellation confirmation.


6. Free Cancellation

Where the booking specifically states Free Cancellation, cancellation may be made without the stated cancellation charge if completed within the applicable cancellation period.

The exact deadline must be followed.

After the deadline, the booking may become:

  • partially refundable;
  • subject to a cancellation fee;
  • or completely non-refundable.

7. Non-Refundable Bookings

A booking identified as non-refundable may generally not be cancelled for a voluntary refund.

However, mandatory statutory rights are not removed by a non-refundable designation.


8. Partial Refunds

A booking may be partially refundable.

The applicable terms may provide for:

  • refund less a cancellation charge;
  • refund of unused services;
  • refund of specified taxes or charges;
  • or another defined amount.

The actual amount depends on the booking conditions.


9. Changing a Booking

An amendment may include:

  • changing the date;
  • changing the time;
  • changing the passenger;
  • changing the room;
  • changing the vehicle;
  • changing the activity;
  • adding or removing services;
  • or correcting permitted booking information.

Not every booking permits every type of amendment.


10. Price Difference

Where an amendment is permitted, the customer may have to pay a price difference.

For example:

Original booking: €300
New booking: €350
Difference: €50

The customer may also be charged an amendment fee where the applicable terms permit one.

If the amended service is cheaper, a refund or credit is not automatically guaranteed unless provided by the booking conditions or applicable law.


11. Airline Booking Changes

Flight changes are governed by the applicable airline fare rules.

Depending on the ticket, an amendment may involve:

  • change fee;
  • fare difference;
  • tax difference;
  • name-change restriction;
  • route restriction;
  • ticket reissue;
  • or complete prohibition of the requested change.

12. Passenger Name Changes

Passenger-name amendments are highly restricted for many airline tickets.

A customer must not assume that a name can simply be transferred to another traveller.

Where a correction is legally or contractually permitted, the airline’s rules apply.


13. Changing Flight Dates

Where permitted, a flight date change may require:

  • airline change fee;
  • fare difference;
  • tax difference;
  • ticket reissue;
  • or other applicable charge.

The customer should obtain the final amendment cost before confirming the change.


14. Flight Cancellation by the Airline

If the airline cancels the flight, the passenger may have statutory rights depending on the route, carrier and circumstances.

These may include:

  • reimbursement;
  • rerouting;
  • assistance;
  • and, in certain circumstances, compensation.

Such rights are not the same as voluntary customer cancellation.


15. Hotel Changes

Hotel bookings may permit changes to:

  • dates;
  • number of nights;
  • room type;
  • occupancy;
  • guest information;
  • or other booking details.

Availability is not guaranteed.

A change may result in:

  • higher price;
  • lower price;
  • amendment fee;
  • new cancellation conditions;
  • or loss of the original rate.

16. Changing Guest Names

Whether a guest name can be changed depends on the accommodation provider’s rules.

Some suppliers permit corrections; others require cancellation and a new booking.


17. Early Departure

Leaving accommodation before the original departure date does not automatically create a right to reimbursement for unused nights.

The applicable rate conditions and supplier terms determine whether any refund is available.


18. No-Show

If a customer fails to use a booking without cancelling it correctly, the booking may be treated as a no-show.

A no-show may result in:

  • full loss of the booking;
  • cancellation charge;
  • loss of one or more nights;
  • or another supplier-defined charge.

19. Cruise Amendments

Cruise bookings may have strict amendment and cancellation schedules.

Changes may be restricted depending on:

  • sailing date;
  • payment stage;
  • cabin type;
  • fare;
  • passenger details;
  • itinerary;
  • and cruise supplier rules.

20. Activity Changes

Activity bookings may permit changes subject to:

  • availability;
  • cancellation deadline;
  • supplier rules;
  • weather;
  • capacity;
  • and booking type.

A change may not be possible for a time-specific or capacity-controlled activity.


21. Car-Rental Changes

Vehicle-rental bookings may permit changes to:

  • collection date;
  • return date;
  • vehicle class;
  • collection location;
  • driver information;
  • or other booking details.

Changing a booking may affect the price and rental conditions.


22. Equipment Rental Changes

For:

  • bicycles;
  • skis;
  • snowboards;
  • surfboards;
  • water-sports equipment;
  • and other equipment,

changes depend on the supplier’s inventory and rental conditions.


23. Vouchers

A voucher may have:

  • fixed validity;
  • specific redemption dates;
  • supplier restrictions;
  • non-transferability;
  • or cancellation restrictions.

The terms attached to the voucher determine whether it can be amended or refunded.


24. Restaurant and Venue Bookings

Restaurant, nightlife, entertainment, event and venue reservations may have specific cancellation deadlines.

Some may require:

  • cancellation within a defined period;
  • a cancellation fee;
  • minimum-spend conditions;
  • or complete forfeiture of a prepaid amount.

25. Adding Services

Customers may be able to add:

  • baggage;
  • seats;
  • meals;
  • transfers;
  • activities;
  • insurance;
  • room upgrades;
  • equipment;
  • or other extras.

Additional services may create separate charges and separate cancellation conditions.


26. Removing Services

Removing an optional extra does not automatically guarantee a refund.

The refundability of each component depends on the applicable supplier conditions.


27. Combined Bookings

Where multiple services are selected together, each component may have separate:

  • suppliers;
  • contracts;
  • cancellation rules;
  • payment arrangements;
  • and refund mechanisms.

The fact that they appear together in the Travellin interface does not automatically make them one legally unified contract.


28. Legally Defined Package Travel

Where a transaction legally qualifies as a package under applicable package-travel legislation, specific statutory rules may apply to amendments and cancellation.

Those mandatory rights take precedence over inconsistent general website wording.


29. Supplier-Initiated Changes

A supplier may make changes to a booking where permitted by its contract and applicable law.

Examples include:

  • flight schedule changes;
  • hotel relocation;
  • itinerary changes;
  • activity changes;
  • or changes caused by operational circumstances.

The customer’s rights depend on the type and significance of the change.


30. Material Changes

Where applicable law gives the customer specific rights following a material change, those rights remain available.

Depending on the transaction, the customer may be entitled to:

  • accept the change;
  • select an alternative;
  • cancel;
  • obtain a refund;
  • or exercise another statutory remedy.

31. Travellin-Initiated Changes

Where Travellin itself makes a change to a service for which it is contractually responsible, Travellin will apply the applicable contractual and statutory requirements.

Where Travellin merely communicates a supplier change, the supplier’s contractual obligations may apply.


32. Refund Following Cancellation

If cancellation results in a refund, the refund will be processed according to the applicable Refund Policy.

The refund may be controlled by:

  • Travellin;
  • supplier;
  • booking platform;
  • or payment provider.

33. Refund Timing

A refund may pass through several systems before reaching the customer’s account.

Accordingly, the date on which a refund is initiated may differ from the date on which it appears on the customer’s:

  • bank account;
  • card statement;
  • or payment wallet.

34. Cancellation After the Deadline

If a cancellation request is received after the permitted deadline, the supplier may reject it or apply the applicable cancellation charge.

Travellin cannot promise an exception unless the responsible supplier agrees or applicable law requires one.


35. Requests Outside Supplier Rules

Travellin may ask a supplier for a goodwill exception where appropriate.

However:

A request for an exception does not create a legal entitlement to a refund or free amendment.


36. Emergency Circumstances

Customers facing unexpected circumstances should contact Travellin and/or the supplier as soon as possible.

Depending on the situation, the supplier may voluntarily offer:

  • waiver;
  • rebooking;
  • credit;
  • partial refund;
  • or another solution.

Mandatory statutory rights remain unaffected.


37. Illness, Personal Circumstances and Other Events

A customer’s inability to travel does not automatically create a refund right.

Possible remedies depend on:

  • booking conditions;
  • insurance;
  • supplier goodwill;
  • applicable law;
  • and the specific circumstances.

38. Travel Insurance

Where a customer has travel insurance, cancellation losses may potentially be recoverable from the insurer subject to the insurance policy.

Travellin is not the insurer unless expressly stated otherwise.


39. Incorrect Customer Information

If a customer enters incorrect information, the customer should contact Travellin immediately.

Examples include:

  • incorrect name;
  • incorrect date;
  • incorrect passenger details;
  • incorrect accommodation dates;
  • incorrect rental location.

The ability to correct the information depends on the supplier and booking conditions.


40. Technical Error

If the customer believes that a technical error caused:

  • an incorrect booking;
  • duplicate booking;
  • incorrect date;
  • incorrect price;
  • or other transaction problem,

Travellin will investigate the relevant transaction records.


41. Duplicate Booking

If a customer accidentally creates duplicate reservations, they should contact Travellin immediately.

Do not assume that both reservations can be cancelled free of charge.

Each booking may have separate cancellation conditions.


42. Cancellation Confirmation

Customers should retain written confirmation showing:

  • cancellation date;
  • cancellation time;
  • booking reference;
  • cancellation status;
  • refund amount, where known;
  • and applicable fees.

43. Booking Amendments Are Not Guaranteed

A requested amendment is subject to:

  • availability;
  • supplier rules;
  • fare/rate conditions;
  • technical availability;
  • payment;
  • and applicable law.

A customer should not make non-refundable arrangements based on an amendment request until the amendment has been confirmed.


44. Changes to One Component

Changing one component of a multi-service booking may have consequences for other components.

For example:

Changing a flight may affect:

  • hotel dates;
  • transfers;
  • activities;
  • car rental;
  • or other reservations.

Customers should review all related bookings before confirming a change.


45. Independent Bookings

Where services were purchased under separate booking references, cancelling one does not automatically cancel another.

Each booking must be separately reviewed.


46. Customer Responsibility for Travel Arrangements

Customers are responsible for ensuring that their itinerary remains workable following an amendment.

For example, changing a flight time may affect:

  • hotel check-in;
  • transfers;
  • activity reservations;
  • rental collection;
  • or onward travel.

47. Supplier Communication

Where Travellin acts as intermediary, it may communicate a customer’s request to the supplier.

The supplier’s response may be required before the change becomes effective.


48. No Automatic Amendment by Email

Sending an email requesting a change does not necessarily amend the booking.

The amendment must be confirmed through the applicable booking system or responsible supplier.


49. Payment for Amendments

Where an amendment has a cost, payment may be required before the change is confirmed.

The additional amount may include:

  • supplier amendment fee;
  • fare/rate difference;
  • taxes;
  • processing fee;
  • or other disclosed charges.

50. Currency and Exchange Rates

Where an amendment or refund is processed in another currency, the amount received may differ because of:

  • exchange rates;
  • card issuer conversion;
  • bank charges;
  • or payment-provider fees.

51. Consumer Rights

Nothing in this page limits mandatory consumer rights.

This includes, where applicable:

  • statutory cancellation rights;
  • passenger rights;
  • package-travel rights;
  • refund rights;
  • remedies for non-conforming services;
  • and other mandatory legal protections.

52. Important Distinction: Voluntary vs Supplier Cancellation

A customer-requested cancellation is different from a supplier cancellation.

A voluntary cancellation is normally governed by the booking’s cancellation terms.

A supplier cancellation may trigger additional statutory or contractual remedies.

Customers should therefore identify who initiated the cancellation.


53. How Travellin Determines the Applicable Rule

For each request, Travellin may assess:

  1. Booking reference;
  2. Supplier;
  3. Product;
  4. Contractual party;
  5. Booking date;
  6. Service date;
  7. Cancellation deadline;
  8. Amendment rules;
  9. Payment status;
  10. Refund rules;
  11. Applicable law;
  12. Whether mandatory consumer rights apply.

55. Final Principle

Before cancelling or changing a booking:

Do not rely solely on general statements such as “free cancellation”, “flexible”, or “changeable”.

The exact:

  • deadline;
  • fee;
  • refund;
  • supplier;
  • contractual party;
  • and amendment conditions

must be determined from the individual booking.


56. Legal Protection

Nothing in this page is intended to:

  • exclude statutory rights;
  • waive consumer protections;
  • misrepresent Travellin’s role;
  • guarantee a supplier-controlled amendment;
  • or guarantee a refund where none is legally or contractually due.

Where mandatory law provides greater protection, mandatory law prevails.
